Deepli Clean™ ("Deepli Clean," "we," "us," or "our") is a commercial janitorial services company based in Portland, Oregon, serving businesses in the Portland, Oregon and Vancouver, Washington areas. This Privacy Policy explains how we collect, use, share, and protect personal information when you visit our websites, contact us, request a quote, or do business with us.
This policy applies to:
- Our website at deepliclean.com
- Information we collect in the course of our business, including phone calls, email, and on-site building walkthroughs.
This policy does not apply to information about our employees or job applicants, which is handled under our internal employment policies. If you apply to work with us, we will use the information you provide to evaluate your application and as permitted by law.
Information We Collect
Information you provide to us
- Contact and quote requests. When you use the contact or quote request form on our website, call us, or email us at info@deepliclean.com, we collect the information you choose to provide, such as your name, business name, email address, phone number, facility address, and details about the services you are interested in.
- Newsletter signup. If you sign up for our email list, we collect your email address and any other information you provide with it.
- Service relationship. If your organization becomes a client, we collect the information needed to provide and administer our services, such as contact details for your staff, service addresses, access instructions, scheduling preferences, and billing information.
Information we collect during sales visits and walkthroughs
When one of our representatives conducts an on-site walkthrough or estimate at your facility, we collect information needed to prepare an accurate proposal. This may include the name, title, phone number, and email address of the facility contact; details about the building and the areas to be serviced, such as square footage, floor types, fixture counts, and current condition; and notes or measurements taken during the visit.
With the permission of your facility contact, walkthroughs may also include photographs of the facility for scoping purposes. We do not intentionally photograph individuals, and we use facility photographs only for preparing proposals and planning services.
We record this information in our internal proposal system, where it is used to prepare your proposal, follow up with you, and, if you become a client, set up your service.
Information collected automatically on our website
When you visit deepliclean.com, we and our service providers automatically collect certain information through cookies and similar technologies, including your IP address, browser type, device type, pages visited, time spent on pages, and the website that referred you. We use Google Analytics for this purpose; see the "Cookies and Analytics" section below.
Phone Calls and Call Recording
Calls to and from our business lines may be monitored or recorded for quality assurance and training purposes. Where calls are recorded, you will hear a notice at the beginning of the call.
By continuing the call after the notice, you consent to the recording. If you prefer not to be recorded, you may tell us and we will assist you another way, such as by email.

Google User Data
Our internal scheduling and proposal software allows our authorized staff to sign in with Google and connect their company Google account for calendar scheduling and email features.
Through Google's APIs, the software may access calendar event information to schedule and manage walkthrough appointments and send email on the staff member's behalf to deliver proposals and follow-up messages.
We use information received from Google APIs only to provide these scheduling and communication features within our internal systems. We do not use Google user data for advertising, and we do not sell it or transfer it to third parties except as necessary to provide these features, comply with applicable law, or as part of a merger or acquisition as described above.
Deepli Clean's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Cookies and Analytics
Our website uses cookies and similar technologies to function properly and to help us understand how visitors use the site.
- Essential cookies. These cookies are needed for the website to operate.

Data Retention

In general, we retain inquiry and proposal records while an opportunity is active and for a reasonable period afterward for business records; client records for the duration of the service relationship and as required for accounting, tax, insurance, and legal purposes; and call recordings, where made, only as long as needed for the quality and training purposes for which they were created.
When personal information is no longer needed, we dispose of it securely.
Security
We maintain reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, use, alteration, or destruction, consistent with our obligations under Oregon law.
These include limiting access to client information to staff who need it for their work, requiring staff to keep client information confidential, and using access controls on our systems.

Children's Privacy
Our website and services are directed to businesses and adults. We do not knowingly collect personal information from children under 16. If you believe a child has provided us personal information, contact us and we will delete it.
